Copilot for Sales Capabilities in Microsoft Word

For some time, we have been reaping the benefits of using Copilot for Sales within Teams and Outlook. The generative AI features it brings us have maximized our productivity and helped automate, streamline, and enhance our customer communications. Our sellers have gained massive efficiencies and improved customer experiences with AI-generated insights, recommendations, email assistance, and more. Now, Copilot for Sales looks to bring similar features to Microsoft Word.

Though still a Preview feature, Copilot for Sales for Word is now included in the official Microsoft Copilot for Sales documentation repository. It has one capability (so far) – generate a premeeting report with Copilot in Microsoft Word. Here’s what it looks like when you generate this report from a CRM meeting tracked to an Opportunity:

Prerequisites

There are two main things you need to have set up and configured before this will work for you:

  1. This only works with Microsoft Word online.
  2. You need to sign into both Copilot for Sales and Microsoft Word using the same account.

Other important notes:

  • Not all languages are currently supported. Go to this page to see the most up-to-date list of supported languages.
  • Not all regions are supported. Go to this page to see any countries where Copilot for Sales is not (yet) globally available.

CRM Requirements

Not all of your CRM meetings will appear as options for you to choose from. The only meetings that appear will meet all of the following criteria:

  • The meeting is scheduled within the next 30 days.
  • There is at least one external participant on the meeting who is matched to a contact in CRM.
  • The user who is generating the pre-meeting report is a required or optional attendee on the meeting.

How to Generate the Pre-Meeting Report

  1. Go to Word Online. Select Draft with Copilot icon (or us the Alt+I shortcut to get there).
  2. Enter your prompt followed by forward slash (/) and the meeting search term. Then, select Sales meetings to select a meeting.
    • Reminder: the only meetings that appear are those that meet all criteria in the “CRM Requirements” section above!

Note: When testing this process, I could not get meetings to show up until at least one attendee accepted the meeting. This is not listed as a requirement in the documentation – perhaps this is a bug as this is still a Preview feature.

Select the meeting, then click the Generate button.

Report Format

The report content is created from information included in the selected meeting and the related Opportunity. The report contains the following sections:

  • Meeting participants
  • Opportunity summary
  • Open tasks for the Opportunity
  • Recent meeting insights
  • Summary of recent emails
  • Related records: up to three open opportunities from the last six months & up to three open cases for the Account.

Obviously, the content of this report is only ever as good as the content included in CRM. The more you put into CRM, the better-quality generative AI you get out of it!
