The Power of an Expense Management Solution Integrated with Business Central

One of my favorite sayings is, “There has to be a better way!” Imagine having to process expenses for a company that has a global presence but is utilizing an expense management solution that isn’t integrated with Business Central. Could you imagine having to print out each employee’s expense report from a third-party data silo, manually calculate or verify exchange rates, and physically walk it to each manager’s desk to have them sign off on it? After going through the approval chain, that paper print-out has gone through 10+ flights of stairs, and many email communications, all to be scanned and uploaded into Business Central with physical signatures on it. Surely there is a better way in 2024 to process expenses that integrates with BC.

That’s where Continia Expense Management comes into play.

Continia Expense Management is a comprehensive solution designed to streamline and automate the handling of expense reporting and management within organizations. It is specifically developed to integrate seamlessly with Microsoft Dynamics 365 Business Central. The integration of Continia Expense Management into Business Central provides several key benefits, making it a superior choice compared to solutions that do not offer such integration.

Overview of Continia Expense Management

Continia Expense Management facilitates efficient handling of all aspects of expense processing, including receipt capture, expense reports, approval workflows, and reimbursement. Its features are designed to minimize manual entry and reduce the time and effort associated with expense reports. The solution includes mobile app support, allowing users to capture receipts and submit expenses on-the-go, further enhancing convenience and efficiency.

Integration into Business Central

The integration of Continia Expense Management with Dynamics 365 Business Central is a significant advantage for users of the ERP system. This integration enables:

  • Data Flow: Expense data flows directly into Business Central, ensuring that financial records are automatically updated without the need for manual data entry. This reduces errors and saves time.
  • Comprehensive Expense Management within Business Central: Users can manage expenses without leaving the Business Central environment, maintaining a unified platform for financial and operational tasks.
  • Enhanced Visibility and Control: Financial controllers gain better visibility and control over expenses, as all data is consolidated within Business Central. This aids in more accurate budgeting, forecasting, and financial reporting.
  • Currency Exchange Rates: If your Business Central environment has an exchange rate service configured, all currency codes will automatically be converted.

Once a user submits an expense report, all of this information is transferred into Business Central:

Why It Is Better Than Solutions That Don’t Integrate with Business Central

  • Improved Efficiency: By eliminating the need to switch between systems or manually transfer data, Continia Expense Management significantly reduces the administrative burden on employees and finance teams.
  • Enhanced Accuracy: Direct integration reduces the likelihood of errors that can occur with manual data entry or when transferring information between disparate systems.
  • Streamlined Processes: Automated workflows for expense approvals and reimbursements, integrated within the Business Central environment, streamline operations and improve compliance with company policies.
  • Lower Operational Costs: Automation and efficiency gains from using an integrated solution can lead to lower operational costs and a higher return on investment.

A Solution Like This Must Cost a Fortune!

While a solution like this might sound expensive, often times they can pay for themselves. There are a few things that should be looked at when determining the true cost of a solution, because often times the current solution is costing you more than a replacement.

  • How much does your current expense management solution cost?
    • This was a key factor before moving forward with Continia. It turns out that from a license and software cost, Continia was cheaper than our current, non-integrated solution.
  • How much labor can you save by having an integrated expense management solution?
    • If your current solution isn’t integrated, that means there are manual processes in play. Take a look at the process for an expense report and see how many different steps it has to go through before being manually entered into Business Central. After a quick analysis, you will most likely see that an integrated EM solution will pay for itself.

What It Looked like After Migrating to Continia:

After migrating our business to Continia Expense Management, it was received well by all. Expense Users had no issues utilizing a new mobile application to capture expenses while in the field, and our finance team enjoyed how easy it was to process expenses now. Someone even mentioned to me, “This seems too easy, we must be doing something wrong.”

There are many different expense management solutions on the market for Business Central, but Continia offers a flexible solution that works with Business Central On-Prem or SaaS. It’s time for you to ditch your non-integrated expense management platform and make the change to something more modern.
